Professionalisation of office document processes
Venlo, the Netherlands, 24 February 2005 – Océ introduces the Océ Professional Office Programme, a four-step, results-driven approach to office document workflow. Combining multifunctional printers, Océ PRISMA software and Océ Professional Services, the Océ Professional Office Programme helps enterprises get full value from their office document processes.
Inefficient document processes
Today the leading trend in most printing environments is centralised document output. But in many offices, document printing processes bear no resemblance to established best practice for effective document management. As a result says the Gartner Group®, 90% of organisations are not fully aware of what their internal print costs are.
Focused document solutions
To manage document processes better, the majority of companies are streamlining their document equipment fleets in favour of more multifunctional printers from fewer vendors. Océ led this trend with the introduction of the first fully digital multifunctional printers in 1996. Since then Océ has developed document production solutions which focus on centralised printing, ease of use and the highest print quality in the industry. These solutions include output management software developed in-house to support a full range of multifunctional printers for workgroups.

Four distinct levels
The Océ Professional Office Programme recognises four distinct office levels. At each level the programme starts with a qualitative and quantitative assessment of current printing processes and document-related business needs. Océ analyses those variables that are key to delivering better productivity, lower costs, higher quality and streamlined communication. Benchmarking an organisation against industry leaders is also a possibility. Océ then develops a business case, including a cost-benefit analysis and proposes the best office document management strategy. Each level can also be outsourced to Océ Business Services as a document service managed entirely in-house.
 
Level 1: Smart Office
Centralised and right-sized fleet management, with high performance and improved efficiencies. Based on existing devices and new SMART multifunctional printing devices for colour and black & white.
 
Level 2: Convenience Office
Multifunctional workgroup printers are now accessible from the desktop. Users only have to walk to convenience centres and workgroup printers when it suits them. Documents sent to printers can be rerouted to other printers from user workstations. And administrators are supported with tools for remote control, accounting and shared fleet management.
 
Level 3: Service Office
This brings output management, including an unified print driver and intelligent job routing to the most cost-effective (Océ and non-Océ) print locations. Users benefit from fax, email, scan, PDF-conversion and archive functionality. There is centralised management of all connected devices, extended accounting and an online printroom connection. All this enables uniform desktop document environments.
 
Level 4: Enterprise Office
Total back-office (SAP®-certified) convergence and output management brings the biggest synergies and efficiencies. Many transaction documents are created or processed in the office—on average around 15% of the volume—supported by SAP and other systems. Océ integrates both front-office and back-office document streams, enterprise-wide.
