Premium brand, premium partner BP chose to open a new prestigious office in the centre of London for their executives and visitors. The location, at St. James’s Square, London, was chosen to represent its premium brand image and its position as one of the world’s largest companies. Therefore, consistent with these requirements, BP wanted a specialist provider of document services to perform its critical printing function.
Based on the previous relationship with BP, Océ Business Services were selected to perform central document production services. The contract forms part of the Total Facilities Management solution, managed by Johnson Controls
Flexibility to adapt As with any relocation project, it was difficult to predict accurately the document requirements. Océ used their experience of working with BP at three other locations to propose a solution.
Next to that, it was agreed that Océ would adapt the solution in line with requirements. This means upgrade, downgrade, add or remove without financial penalty.
This approach proved to be very important in meeting customer needs. The demand for colour productivity increased over time, so Océ implemented three powerful Océ CPS700 colour devices.
Stuart Lindley, Head of Reprographics at Johnson Controls, stated: ‘Océ’s flexibility provides latest technology enabling cost savings, productivity improvements and quality improvements—at the levels that we require’.
Environmental friendly BP has a very strong environmental focus. In its activities at its head office, it wanted to reduce environmental impact as much as possible. The Océ Business Services solution therefore focuses on reducing waste and BP St James's Square emission. Short overview of initiatives reducing environmental impact:
- Quality management processes. Operators check documents and requirements to ensure first time right and therefore reduce errors and waste.
- Print on demand. No stock or wastage from printing more copies than needed.
- Lasting technology. Océ machines are designed for a long life and consume fewer natural resources than market average.
- No ozone. Océ’s unique colour technology elimates ozone emission.
- First time right, no waste. Highly reliable technology reduces the waste copies (and their energy content) in addition to promoting efficiency and user satisfaction.
Improved brand consistency Océ installed graphic design software to enable documents to be stored, corrected and modified on-demand. Together with Océ colour technology, this ensured the BP brand to be portrayed with consistency in all digitally printed materials.
All BP logo and other corporate colours on each of the colour devices are the same. This colour solution was then rolled out to other BP offices in London and Sunbury—ensuring consistency of images and contributing to BP’s brand management.
Cost effective Despite the emphasis on quality, the new technology enabled cost reductions to be made in document production. For example, the cost of colour printing was reduced by 41%. This encourages more customers to use full colour documents that look professional and improve clarity.
The flexible working patterns of Océ staff also enable fewer instances of “leakage” to external copy shops, therefore reducing costs and improving cost transparency. This facilitates improved management decision making—as the monthly information reports enable trends to be recognised and workflows anticipated.
Staff SuccessThe staff commitment has exceeded expectations too. This was recently recognised in our senior reprographics operator winning the BP employee of the month award at St. James’s Square. A testament to the approach Océ Business Services have taken.
Océ Business Services is fully committed to achieving the Investors in People accreditation. This will formally recognise their commitment to their staff.
Partners for progress Océ Business Services and Johnson Controls are currently working closely to add sustained process innovation for BP’s benefit. They are looking to exploit the synergies available by managing several aspects of the document lifecycle to reduce costs and improve productivity.
