Document control and retrieval from multiple archives Store drawings, change notices, parts lists, contracts, manuals and more in separate archives, each with a separate document attribute structure and list of authorized users. Search all classes individually or simultaneously from a single user interface. Secure storage Access to documents is password protected, and includes options such as -- view, print, modify and import -- that can be defined by the system administrator for each user. Access to the system is available via LAN, WAN or Internet connections. Personal and World folders Frequently accessed documents can be stored in personal folders for easier retrieval. Every user can create his or her own tree of folders and organize the documents in the way that best suits their needs. A world folder is created by an administrator and is visible to all users. Users can personalize their view of folders -- documents can be listed by number and revision or as a thumbnail image. Import & Index Index and import new documents with a minimum of effort. A heads-up viewer, flexible import templates, and many automation features make it easy to index scanned documents, CAD files, and microfilm documents to archive. If the document attributes already exist in a database, the optional Database Import module makes it easy to copy that information into your digital archive. Dynamic Folders for always up-to-date information Dynamic folder technology automatically organizes and updates folders based on criteria set by the user or administrator. For example, when a user sets up a folder for a specific project, all archived documents regarding that project will automatically appear in that folder. Internet access The optional Web Server module connects the digital archive to the Internet, enabling on-line access for customers, suppliers, subcontractors and off-site employees. Web-optimized file formats reduce transmission time and minimize bandwidth requirements.
Document Publishing and Distribution The optional Document Publishing module enables users to send third parties CDs or DVDs with documents. The optional Document Distribution module is used to distribute documents from a parent Océ Doc Exec Pro or ADM software system to a remote archive. Distributions created on CD or DVD can also be used for jukebox archival purposes. Drag & drop printing When integrated with Océ Print Exec Pro, printing a document is as simple as dragging it to the appropriate printer icon. There is no need to start up a separate application or set complex printer parameters. Easy importing Two optional modules make it easy to import existing and new documents into your digital archive:
• Database Import: migrate documents and associated attributes from virtually any off-the-shelf or home-grown database.
• Automatic Queue Processing: automatically import documents based on business rules defined with a powerful scripting language.
